ABOUT THE ROLE

Reporting to the Engineering Manager within our Energy/Upgrades and Maintenance (U&M) division, this role will be responsible for implementing and maintaining the document management system used on projects. The successful candidate will also be required to coordinate Information and Communication Technology (ICT) assets and availability for U&M personnel with the ICT department.

The successful person will have excellent communication and teamwork skills and a positive attitude.

DUTIES

  • Configure Asite document control system software to the needs of the business, consulting with staff to ensure the software is configured according to users’ needs.
  • Deliver Asite training/support to Operations personnel.
  • Collate, send, and receive Project, Design, and Quality documentation electronically, and if required, as hard copies.
  • Provide administrative support to Engineering, Projects and Quality personnel including ordering of supplies, Engineering software updates and maintenance of Archive records.

ICT Coordination:

  • Advise ICT of the required hardware (assets) and timeframes, then coordinate the configuration, delivery, and installation of those assets.
  • Ensure ICT assets are accounted for and returned to ICT at end of projects.
  • Assist ICT with hardware deployment, if required.
  • Coordinate changeover of ICT assets e.g. upgrades or procurement of equipment for office and site works.
  • Initiate New User Requests if required (to assist project management).
  • Coordinate user access to RCR software

SKILLS & EXPERIENCE

  • Knowledge in and experience with ISO9000 quality system, especially with document management.
  • Knowledge of contractual, document control protocols and electronic document management systems.
  • Advanced Knowledge of MS Office Suite Versions 2010 – 2013.

Desirable:

  • Experience in Document Control in an engineering environment and / or IT industry.
  • Knowledge of data base systems development and maintenance.
  • Trades or Tertiary qualifications.
  • Training Certificate IV.
